What are OW Sync workflow actions

OW Sync - Orderwise Connector workflow actions let HubSpot automatically sync data with Orderwise, reducing manual updates, improving accuracy, and keeping sales and operations aligned.

How Sync Actions Work

Create or Update: Sync actions check if a record already exists in Orderwise.
  • If it does not exist → the record is created.
  • If it already exists → the record is updated with the latest data.
Field Mapping: Each action comes with mandatory fields (required to match or create records) and non-mandatory fields (optional, but useful for richer synchronization).

  • Data consistency: Prevents discrepancies between HubSpot and Orderwise.
  • Operational efficiency: Eliminates double data entry.
  • Customer experience: Accurate orders, billing, and delivery details improve service quality.
  • Compliance: Ensures VAT, company registration numbers, and other legal identifiers are always correct.

Best Practices

  • Always set the mandatory fields first to guarantee proper matching.
  • Use non-mandatory fields wherever possible - they improve reporting, compliance, and communication.
  • Keep an eye on checkboxes in the sidebar to ensure non-mandatory data is saved correctly.

Important note: If you keep checkboxes unticked, the workflow action will send a “false” value to Orderwise, e.g. if you already have a contact set as “Active” in Orderwise and you don’t set the “Active” checkbox to true on the contact create or update action, it will show as inactive in Orderwise.

  • Combine Sync actions with HubSpot triggers to automate your sales-to-operations flow.

With Orderwise Sync workflow actions, HubSpot becomes the central point of managing customer and order data, while ensuring Orderwise always has the latest and most accurate information.
