Here's everything you need to know to install and use OW Sync - Interprise Connector.

1. Before You Start — Get Your Interprise API Key and Address

Interprise ships either installed on your own Windows Server or hosted by Interprise/a partner — either way, your deployment has its own base URL and port, and you'll need an API key generated inside Interprise itself.

  1. Register the IWS plugin (one-time, inside Interprise): go to System Manager → Tools → Plugin Manager → Add Plugin, select Interprise.Presentation.IWSPlugin.dll, enable Interprise Web Services (IWS) and Administrator, then restart Interprise.
  2. Generate an API key: go to System Manager → Tools → Interprise Web Services (IWS) → API User Setup, choose File → New, select the Interprise user the key should act as, assign the key, then Save & Close. The API key follows that user's own role and permissions — make sure the user can see everything you intend to sync (customers, CRM contacts, inventory items, sales orders, and invoices), and can create/update the records you intend to write back from HubSpot.
  3. Note your base URL: your Interprise deployment's address, including the port — for example https://your-server.example.com:83/Interprise.Web.Services.YOURCOMPANY. This is different for every customer; ask whoever manages your Interprise server if you're not sure.

    ⚠️ IP allowlisting required: OW Sync connects from a small set of fixed outbound IPs. Ask whoever manages your Interprise server's firewall to allowlist both before connecting — otherwise every request will time out.

2. Initial Installation

  • Install OW Sync - Interprise Connector from the official installation flow. On the OW Sync landing page, open the "Search for your ERP..." dropdown and select Interprise, then click Log In with HubSpot.

  • Select your HubSpot account from the list. We recommend testing on a sandbox or test account before deploying to production.

  • Review the permissions required by the app — these include access to your companies, contacts, orders, invoices, products, line items, and their property schemas — then click Connect app to proceed.

3. Account Setup

After connecting, you'll be guided through a setup wizard.

  1. Select Billing Contact: Choose a portal user who will be the primary billing contact for this account from the dropdown, then click Continue.

  2. Company Information: Enter your billing company details including domain, legal company name, street address, city, state/county, postal code, and country. This information will be used for invoicing. Click Continue to proceed.

4. Connect Interprise

  • Welcome to Interprise Connector: The onboarding wizard explains what you'll need — your Interprise base URL and the API key generated in Interprise. Click Continue.

  • Enter your credentials: Enter the Base URL and API Key from section 1 and click Continue. This step also reminds you to whitelist both OW Sync IPs on your Interprise server.

  • Test Connection: OW Sync confirms the API key is valid and reads a sample of customers and inventory items from your deployment. Click Continue once the checks pass.

5. HubSpot Setup — Create Properties

Interprise data is mapped to the matching native HubSpot objects (companies, contacts, products, orders, invoices, and line items). OW Sync will automatically create and manage the custom properties needed to hold your data — there's no target object to choose.

  • Click Create Properties to proceed. OW Sync creates the custom properties for your customers, CRM contacts, inventory items, sales orders, invoices, and their line items, and reads your Interprise deployment's lookup lists (currency, payment terms, shipping methods, and departments) to populate the matching dropdown properties with the right options.

6. Finish Onboarding

  • Once properties are created, you'll see the All set! screen confirming your Interprise connector is configured and ready to use. Click Go to Dashboard to enter the app.

7. Review Your Sync Configuration

  • After onboarding, you'll land in the OW Sync app. The Mapping page's Objects tab shows your pre-configured sync pairs, which bring Interprise data into the matching native HubSpot objects:
    • Interprise Customer → HubSpot Companies
    • Interprise CRM Contact → HubSpot Contacts
    • Interprise Inventory Item → HubSpot Products
    • Interprise Sales Order → HubSpot Orders
    • Interprise Invoice → HubSpot Invoices
    • Interprise Sales Order Lines / Invoice Lines → HubSpot Line Items
  • Use the Activated toggle on each row to turn a sync pair on or off, and the Interval dropdown to set how often it runs (sync frequency depends on your plan). You can review the field mappings for any pair by expanding its row before enabling it.

    ℹ️ Large first syncs: Interprise has no fine-grained delta feed, so each run reads a full day-by-day window rather than a precise "changed since last time" cursor; the first run of each pair imports the full history and can take longer on larger deployments, especially Sales Orders and Invoices (their line items require one extra lookup per order/invoice). Subsequent runs only cover the days since the last sync. We recommend activating Customers first, then enabling the remaining pairs once it completes.

  • Map Interprise fields to HubSpot properties as needed. Fields are pre-mapped to the auto-created HubSpot properties by default, and you can change the target property or disable individual field syncs from the expanded row.
  • The Enumerations tab shows the lookup lists read from your Interprise deployment that back the dropdown properties, and the Exclusions tab lets you filter out records you don't want in HubSpot (for example, prospects that haven't converted to customers yet).

8. Review Associations

  • The Associations tab lists the relationships OW Sync builds automatically in HubSpot once the relevant sync pairs are running:
    • Contacts → Companies, Sales Orders → Companies, Invoices → Companies
    • Sales Orders → Contacts, Invoices → Contacts
    • Sales Order Lines → Orders, Invoice Lines → Invoices
  • Use the Activated toggle to enable the associations you want. The Associated So Far column tracks progress for the association types HubSpot can report on.

    ℹ️ Line-item associations: HubSpot can't build a list rooted on line items, so those association types show a rollup count on the record instead of a live list total. The associations themselves are still created normally.

9. Create Records in Interprise from HubSpot (Optional)

OW Sync ships HubSpot workflow actions that write back to Interprise, so you can create and update records directly from HubSpot without re-keying data. Add any of these actions to a workflow (for example, when a deal reaches a closed-won stage):

  • Create Customer, Update Customer
  • Create Contact, Update Contact
  • Create Item, Update Item
  • Create Sales Order, Update Sales Order
  • Edit Line Item, Cancel Sales Order
  • Create Payment

Action outcomes, including any Interprise validation errors, appear in the workflow's action logs.

ℹ️ No "Add Line Item" action: Interprise has no API to append a new line to a sales order once it's created — every line has to be known at creation time, or the order has to be cancelled and recreated with the full line set. Create Sales Order accepts one line inline for the common single-item case, plus an Additional Fields (JSON) box for a full multi-line order; Edit Line Item can adjust quantity/price on a line that's already on the order.

ℹ️ Plan tiers: Create and update actions for customers and contacts are available on all plans. The item, sales order, line-item, and payment actions require a plan that includes advanced workflow actions.

10. Review Sync History

  • Navigate to Sync Logs in the left sidebar to view synchronization history.

  • The first sync will begin shortly after you enable a sync pair. Subsequent syncs run automatically on the schedule you set.

11. Verify in HubSpot

  • Once a sync completes, navigate to the matching HubSpot objects — Companies, Contacts, Products, Orders, and Invoices — to verify the data.
  • You should see Interprise records with all mapped fields populated, sales orders and invoices linked to their customer's company and contact, and their line items attached to the parent order or invoice.

ℹ️ Credentials never expire on their own: Interprise API keys don't have a session/token to refresh — OW Sync uses the same key on every call. If the key is disabled or regenerated in Interprise, syncs will report a credentials error: open the Connections page in OW Sync and update the API key on your Interprise connection.
